Implementation of Notice No. 05/TTg, dated January 28th, 2021 on "Conclusion of Prime Minister Nguyen Xuan Phuc at the Standing Meeting of the Government on Covid-19 epidemic prevention and control". Document No. 151/UBND-KGVX, dated January 28th, 2021 of the People's Committee of Quang Binh province "on the continuation of measures to prevent and control the Covid-19 epidemic in the new situation". Decision No. 2471/QD-UBND, dated August 4, 2021 of the People's Committee of Quang Binh province on "additional and applied levels of Covid-19 prevention and control in Quang Binh province". Oxalis Company issued the Preparedness and Response Plan for Covid-19 epidemic. This plan is applied to all employees, customers and visitors to Oxalis Adventure as follow:

I. Screening process for customers coming from areas with Covid outbreaks

Oxalis will perform a screening process to ensure the safety of visitors joining the tour. The screening plans are implemented under the guidance of the Safety Code, guided by the Quang Binh health authority. In which Oxalis will:

  • Close all business activities immediately upon request from local authorities to prevent the spread of Covid 19.
  • Not accept guests coming from epidemic & lockdown areas (according to the guidance of the Ministry of Health); who have been exposed to F0, F1, F2; who have high body temperatures above 38 degrees Celsius; who come to work, or have had close contact with people,… in the above-mentioned provinces and localities that have not been quarantined, medical monitored within 14 days prior to joining the tour. If customers have booked the tour, Oxalis will assist them in rescheduling the tour or canceling the tour, and processing a full refund according to our booking condition.
  • Ask guests to provide travel track information within 14 days before joining all Oxalis tours. If you have visited an affected area, Oxalis will ask you to reschedule the tour or cancel the tour and receive a refund.
  • Request customers / partners to make a medical declaration according to the regulations of the Ministry of Health before joining the tour. (Link to medical declaration: QR code for verification of medical declaration must be sent to Oxalis staff one day prior to joining a tour.

II. On site control process for Oxalis Offices

  • Ensure all visitors or customers who come for transactions / participate in Oxalis services go through a temperature check at: Oxalis Adventure Headquarters in Phong Nha, Oxalis Adventure Office in Tan Hoa.
  • Arrange approved hand sanitizer –Green Cross at reception points, ensure 100% of employees / customers use the sanitiser before contacting or participating in the company's services.
  • Equip and distribute masks to employees / visitors / guests upon request for free. Guests and staff must wash their hands regularly with Green Cross antibacterial solution, wash their hands before eating, drinking and after going to the toilet.
  • Before entering Oxalis office or hotel areas, all passengers' luggages must be disinfected with Anolyte or Cloramin B solution.
  • Cleaning and disinfection before and after guests leave at the areas: offices, hotel rooms, and toilet and shower facilities, campsites on tourist routes, on means of transport, in accordance with the regulations of the Ministry of Health.
  • Monitor the health information and health condition (as required) of visitors or guests 14 days before, during and at least 14 days after joining the tour/ staying at tourist accommodation.
  • Record the itinerary and contact information with guests after the tour ends.
  • Monitor the health information, the health of employees working in the enterprise and employees participating in tourism / service programs organized by Oxalis.
  • All the means of transport used to transport customers must be disinfected before picking up passengers at destinations and after drop off. Hand sanitizer (Green Cross) and masks will always be arranged on the bus for use as needed.

III. On tour control process

  • At dining locations and campsites: All guests and staff are required to wash their hands with antiseptic gel (Green Cross) before and after eating. Food service items such as bowls, plates, chopsticks, spoons, drinking glasses ... must be rinsed with boiled water to disinfect before use. Each person is provided with their own cup, spoon, chopsticks and condiments; each person will have 2 spoons for use (1 for eating, 1 for taking food); when using chopsticks to pick up food, they must use the back of the chopsticks (reverse the chopsticks).
  • Each customer / company staff when participating in the tour will be provided with 1 numbered bottle of water for their personal use.
  • All special equipment such as helmets, life jackets, shoes, headlights, gloves will be disinfected before being dispensed for customers to use.
  • All equipment used for camping such as tents, sleeping bags, mattresses, pillows etc will be replaced for each tour. The used equipment will be transferred back to Oxalis office for washing/cleaning and disinfecting before bringing back to the camp.
  • The campsites are arranged to ensure guests have their own living space and allow for social distancing.
  • Cleaning and disinfection will be carried out on all areas at all campsites such as: dining area, camping area, toilet area, and other living areas. This is done on a regular basis before any group arrives or after leaving.

IV. Handling procedure for a customer showing symptoms of a virus infection

  • Oxalis has a designated separate room at the offices of Tan Hoa, Phong Nha, for guests with symptoms.
  • All customers with symptoms of high fever, difficulty breathing, coughing or sore throat must be taken to a safe isolation room under the guidance of the Quang Binh CDC. Immediately on showing any symptoms they must be provided with a mask and kept away from staff and other guests as much as possible.
  • If a customer gets sick in a campsite or on the trek, they must immediately be made to wear a mask. Staff accompanying a customer out from a tour, must wear protective equipment until they have placed the customer in the quarantine room.
  • All equipment used by the customer in the campsite must be disinfected with anolyte, bagged up and returned to the office.
  • All areas of the campsite must be disinfected as soon as the customer has left.
  • The support staff must wear full protective equipment including hats, clothing, gloves, masks and rubber boots prior to contact with the sick customer. The customer must wear a mask in the quarantine area; Cancel all tour activities of the customer.

  • Notify Quang Binh Department of Tourism via hotline number 02323 833 399 for support.
  • List all names and contact information of people who have had contact with customers with a suspected virus infection, and provide to the authorities for monitoring.

V. Training

Guides, reception staff, porters, drivers, and operators are regularly updated on Covid response and prevention plans. Staff will practice hypothetical situations to ensure competence when real situations arise.

VI. Implementation

Above is the process for the prevention and control of Covid-19 infection of Oxalis Company. In the event of any new developments of Covid or new updates in the prevention of Covid by CDC Quang Binh (Center for disease prevention), this process will be updated and changed.

All employees/customers/visitors coming to work/ transact /use the company's services are required to rigorously follow these procedures to prevent epidemics, ensure their own health and safety and that of the community. In the event any employee/customer/visitor who intentionally does not comply with the above procedures, Oxalis Company will refuse to serve or work with that person.
